The primary purpose of the position is to develop, deliver and manage a range of administrative support services, including high level administrative assistance to the Executive Director. The position will focus on ensuring the services provided meet quality and value for money expectations of customers. The position reports to the Executive Director, Northern Queensland Operations, Building and Asset Services.

You will be responsible for setting up the office function, defining and implementing methods of work not only for the ED but also setting up systems to ensure key requirements; reports and operational responses are occurring as per time frames and operational requirements. This position requires and experienced EO with demonstrated experience in a range of EO and administration functions and as such you will be highly organised, have advanced IT knowledge, have exceptional communication skills and demonstrated experience with senior level stakeholder engagement.

The successful candidate in this role will have:

  • Demonstrated experience in an executive support role requiring confidentiality, professionalism, diplomacy, tact and good personal judgment.
  • Confidence to appropriately action and delegate tasks as required
  • Highly developed verbal and written communication and interpersonal skills appropriate to executive support.
  • Experience managing a busy executive diary and schedule including meeting facilitation and travel arrangements
  • Ability to undertake research and prepare information suitable for an executive level.
  • Experience in drafting and coordination documents such as Ministerial and Briefing Notes
  • Possess high level computer literacy skills and knowledge and effective user of Microsoft Office suite of applications.
  • Experience dealing with the complexities of a large diverse organisation
  • Good attention to detail and ability to manage multiple priorities
  • A self-starting attitude, comfortable using your own initiative
It is essential you are able to interact at the highest level in a calm,organised manner whilst diplomatically influencing those around you within a fast paced environment. Previous experience in a similar role will be favourably looked upon
