Programmed Facility Management is a leading provider of facility maintenance and asset management, engineering, construction and maintenance services.
We are seeking a person to fill the role of a full time Facilities Coordinator . Based in our client offices in Carlton , and reporting to the Contract Manager you will be responsible for:
This role will be responsible for the day to day administration functions and the coordination of services, such as allocation of work orders, reporting, invoicing and customer projects.
The Facility Coordinator will assist the Contract Manager in the preparation of weekly and monthly reporting relating to help desk operations and service delivery activities. Participation in client meetings and other related forums may be directed by the Management Team.
Key responsibilities include:
Ensure that Programmed Facility Management Policies and Processes are adhered to.
Ensure that the maintenance plan is adhered to
Develop an excellent working relationship with the client
Prepare information for inclusion into the specified reports
Monitor progress and anticipate completion for all service requests
Establish and manage approved contractor listing including licences, permits and inductions and external audit schedules
Receive requests for services from customers
Communicate with customers where required and support the service delivery team in maximising customer satisfaction
Record customer comments/complaints
Assist in the management of subcontractors
To be successful in this role you will need to demonstrate:
Experience in the facilities administration/ help desk related activities
High level of customer service skills
Experience in the management of staff and sub contractors and suppliers
Well developed skills in Microsoft Word, Excel and Outlook
Effective written and verbal communication skills
Strong organisational capabilities with attention to accuracy and detail
A strong customer focus and an ability to build strong customer relationships.
An ability to work autonomously within a team environment
A trade based qualification would be an advantage
