We are currently searching for a HR Assistant to join our small but highly motivated talent team here at GroupM . The HR & Talent Assistant is the guardian of administrative procedures, by providing day to day administrative support to the HR & Talent team in various tasks including, induction, performance management, and reward.

The role will support the HR & Talent team by acting as the first point of contact for all queries from our people, whilst providing hands-on HR support to ensure HR & Talent operational processes and procedures are developed, implemented and carried out in accordance with the GroupM people strategy, relevant policies and current legislation. This role requires exceptional attention to detail and organisational skills. There is always a lot to juggle with a large volume of work and the pace is fast!

This role reports to the HR & Talent Manager, GroupM Australia.

Measures of success:In three months, you are:
Developing open, frank and positive relationships with colleagues throughout GroupM
Demonstrating a strong eye for detail to ensure accuracy and consistent delivery on all documents produced
Building a solid understanding of GroupM, and our agencies, and their policies and procedures
Understanding the various GroupM employment contract templates and terms and conditions

In six months, you are:
Building trusted relationships with the agencies, having built credibility as reliable and responsive
Coordinating and liaising with the Payroll team effectively and accurately
Developing a solid relationship with the other GroupM Talent team members
Delivering a high quality and consistent HR administration service across all agencies and employees

In 12 months, you are:
Owning the contract drafting process and providing the highest level of service to clients as well as meaningful human capital metrics and data for robust decision making
First point of contact for all visa applications and queries for employees/managers across the group
Maintaining good working relationships with main contacts
Considered an ally and problem solver

Responsibilities of the role:
Ensure the HR administration function offers a high quality and consistent service across all agencies and employees, whilst working to continually improve accuracy, processes and response times
Prepare and review employment contracts and changes in terms and conditions ensuring 100% accuracy
Update the HR SLAM database, ensuring it is current and accurate at all times
Support the on-boarding and off-boarding processes by liaising with payroll to ensure all necessary details are accurately transferred between HR & Talent and payroll
Provide the Payroll team information regarding salary changes, promotions, parental leavers, etc by payroll deadline
Manage effectively and efficiently the visa application process with our immigration agency; track visa expiry dates to ensure employee working rights to do not lapse and liaise with the immigration agent with ad hoc immigration queries
Prepare, review, interpret and analyse meaningful human capital metrics and data for robust decision making and regular report these to the HR & Talent Manager and CTO
Assist with the employee benefits portfolio, communicating regularly to ensure maximum awareness
Work with the HR & Talent Manager to ensure all GroupM/WPP procedures are well understood and adhered to by all employees including ensuring the WPP online training courses are completed
Support the HR & Talent Manager with GroupM’s corporate social responsibility programmes, in particular Melbourne, Brisbane and Adelaide, to ensure we are having a positive impact on the environment and society
Assist the CTO and HR & Talent Manager with building a future pipeline of graduate talent via M Grad @ mUmBRELLA360 and The M Grad Programme, including shortlisting candidates, organising assessment days and engaging the applicants throughout the process
Ensure concern for quality and pride in all work produced; be consistently careful and methodical with a strong eye for detail to ensure accuracy and consistent delivery

What you will need:
Candidates will have excellent organisation and administrative skills, as well as exposure to and knowledge of a range of HR functions including recruitment, learning & development, reward, employee relations and HR administration. Professional HR qualifications or continuing professional development to demonstrate competence.

In addition, the candidates should demonstrate the following:
A strong customer centric mindset, responsive, reliable with ability to manage expectations of internal clients;
Concern for quality and pride in all work produced; consistently careful and methodical with a strong eye for detail to ensure accuracy and consistent delivery
Excellent written and oral communication skills;
Ability to work on own initiative; constantly thinking ahead; demonstrating a hands on approach to all tasks; taking an active and effective role in all day to day HR administration activities
A hands on and highly organised approach to all tasks in order to effectively manage a variety of different tasks on a daily basis
Comfortable with ambiguity - flexible and adaptable with a willingness to learn and ‘muck in’ where ever needed.
